Employment Opportunity: Administrative Assistant/Bookkeeper 
Location: Halifax, NS 
Salary Range: $45,000 - $50,000/year 
Employment Term: Start Date with fixed term (one-year) contract with possibility for extension 
Position Type: Full time, 35 hours per week, Monday – Friday 
Reports to: EOED Co-Director Operations & Mi’kmaw Native Friendship Society Finance Manager 
 
Description 
The Administrative Assistant / Bookkeeper (AAB) is a split position responsible for assisting the day-to-day operations of the Every One Every Day Program and Finance Department.  The AAB will ensure an effective and accurate filing system, office administration, financial tracking and reporting.  The job description may adapt as the workplace changes. This position is ideal for someone who is looking to build on their accounting skills broadly with the potential to grow within the accounting department. 
 
Key Responsibilities  
 
Bookkeeping: 
  • Track invoice obligations, make accurate and timely invoice payments, gain approval where necessary, and identify and report inaccuracies and variances 
  • Prepare program monthly financial statements like cash flow, income and balance sheets and funder specific reports in addition to our program financials  
  • Reconcile and verify invoices and monthly statements, assign payments to applicable expense codes 
  • Work with MNFC Programs to resolve any invoice problems or inaccuracies 
  • Collaborate with other accounting and finance team members 
  • Assist with corporate audit and other financial reporting requirements as needed 
  • Experience in payables and/or receivables is an asset 
  • Maintain a high level of confidentiality 
 
Administrative: 
  • Organize and maintain files (digital & paper) and documentation for program, completing paperwork 
  • Staff meeting coordination, secretary, task assignment documentation  
  • Administrative purchasing for program, receiving and organizing supplies 
  • Support and management of external contracts, MOUs and partnership agreements;Travel booking & documentation, point of contact for supplier contracts (insurance, lease, security, maintenance etc.) 
  • Work cooperatively as a part of a team 
  • Attend professional development opportunities and team retreats as requested 
  • Adhere to all the Mi’kmaw Native Friendship Centre Policies 
  • May perform other related duties as required. 
 
Qualifications 
  • 2+ years of accounts payable & receivable, general ledger experience in a corporate environment 
  • 2+ years administrative experience working preferably in a fast-paced non-profit environment 
  • Equivalent combination of education and experience will be considered 
  • Must have exceptional interpersonal and reporting skills 
  • Knowledge of payables, budgeting and accounting best practices 
  • Experience with financial transaction reporting 
  • Expertise in Microsoft Office, Excel and SAGE 50 accounting software. Experience with other accounting software is an asset.  
  • Understanding of tax obligations and reporting requirements for payables (HST) 
  • Strong quantitative and analytical ability 
  • Excellent verbal and written communication skills 
  • Strong organizational skills and attention to detail 
  • Knowledge of First Nations Communities/ Culture and the Urban Indigenous and/or North End Community is considered an asset 
  • Must possess a current vulnerable sector check, child abuse registrar  
  • Access to a reliable means of transportation
