Calix is seeking an Administrative Assistant to support multiple Vice Presidents in our Success organization. Candidates who have experience supporting team members in a remote work environment are strongly preferred. From your home office (as part of Calix’s Remote first work environment), you will report into the Sr. Manager, Executive Assistant and join an exciting and engaging administrative support team!

Responsibilities and Duties:

  • Manage the daily calendars of multiple Vice Presidents.
  • Make travel arrangements, create itineraries, and confirm logistics.
  • Submit and reconcile expense reports.
  • Source items or services, generate purchase requisitions and route invoices for payment.
  • Conduct research and prepare reports, handling sensitive information in a confidential manner.
  • Create and maintain distribution lists, org charts and various other administrative systems.
  • Update and manage Chatter groups in Salesforce.
  • Coordinate the shipment and tracking of items to external parties from time to time.
  • Assist in the organization of company events and conferences.
  • Liaise with Executive Assistants to handle requests and queries from our executive team.
  • Provide back-up to other Administrative Assistants and Executive Assistant team members, as needed.
  • Execute on various projects, as requested.​

Qualifications:

  • High school diploma or general education degree (GED) required. Associate degree in Business Administration preferred.
  • 3+ years’ experience as an Administrative Assistant.
  • Excellent time management and interpersonal skills.
  • Strong written and verbal communication skills.
  • Project management experience.
  • Solid organizational skills with the ability to multi-task.
  • Comfortable with routinely shifting demands.
  • High degree of attention to detail.
  • Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint, Teams, and SharePoint), Adobe Acrobat, and social media web platforms.
  • Experience with Salesforce and Chatter a plus.
